The Challenge

The company's Residual Risk Analysis process is a complex, multi-faceted undertaking that necessitates working across multiple systems and programs. The operation is essential for the client meeting regulatory bodies' compliance requirements.

It was essential for management to have visibility of Risk Review Reports within hours of the data becoming available and with the absolute minimum of manual intervention from personnel.

The Goal

At the time, complaint data was being manually extracted and audited by Quality personnel. The end-to-end process took upwards of four weeks to complete, with thousands of records needing attention. The tedious nature of the work was prone to human error, and revisions became labor-intensive and costly.

Our Solution

Solugenix worked with the client to swiftly implement a Robotic Process Automation (RPA) bot capable of replicating keystrokes and software interactions, leading to greater efficiency in the  process and enhanced visibility for management.

The implementation of RPA did not require any changes to their software platforms. Additionally, the bots would reduce the number of errors while performing quality analysis and provide more consistent service delivery due to fewer fluctuations in workforce.

The Results

As RPA took over the tedious work, request-to-report turnaround time plummeted. Reports which took an average of 3 weeks (120 hours) each to complete now required only 4-6 hours. With 48 reports due annually, the company could significantly reduce its labor expenditure by upwards of 6,000 hours per year.

Management also gained almost instantaneous visibility of product and risk review reports. Employee satisfaction grew as personnel was no longer burdened with mundane manual work and could contribute to the business in other essential areas.

Key benefits include:

  • As an RPA bot is seamlessly implemented into existing programs, the risk analysis process becomes more efficient and attains 100% accuracy via automation
  • Month-long procedures are completed in less than a day, saving 6,000 labor hours annually
  • Manual work hours for Quality personnel are drastically reduced, and employee satisfaction levels raised
  • Visibility of revised reports becomes available in real-time, giving management clearer oversight for the RMR process
